RECRUITED ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our college recruiting email management platform.

Information We Collect

Account Information

When you create an account, we collect your email address, name, and profile information including academic details, athletic information, and highlight video links.

Gmail Integration

When you connect your Gmail account, we access:

• Email messages: To sync your recruiting emails and display them in our platform
• Email metadata: Subject lines, timestamps, sender/recipient information, and thread data
• Send capabilities: To send emails on your behalf through Gmail
• Email modification: To mark emails as read/unread and organize them into folders

Data Minimization

We only sync emails from your INBOX and SPAM folders — not your entire mailbox. SPAM folder access allows us to rescue legitimate coach emails that Gmail may have incorrectly filtered, ensuring you don't miss important recruiting correspondence.

Email body content is stored to enable:

• Displaying full email content within RECRUITED without repeated API calls
• Searching your recruiting emails within the platform
• AI-powered classification to identify recruiting-related messages
• Offline access when Gmail is temporarily unreachable

How We Use Your Information

We use your information to:

• Sync and display your recruiting emails in our platform
• Track email opens and engagement from college coaches
• Automatically create and update coach contact records
• Send emails on your behalf through your Gmail account
• Organize email threads and conversations
• Provide analytics on your recruiting outreach performance
• Suggest follow-up actions and next steps
• Enable email templates and personalized merge fields

Gmail API Scopes

Our application requires the following Gmail API permissions:

• gmail.readonly - To read your emails
• gmail.send - To send emails on your behalf
• gmail.modify - To organize and label your emails

These permissions are necessary to provide core functionality including email sync, sending recruiting emails, and organizing your inbox.

Google API Disclosure

RECRUITED's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, RECRUITED:

• Limited Use: Only uses Gmail data to provide or improve user-facing features that are prominent in RECRUITED's user interface
• No Improper Transfers: Does not transfer Gmail data to third parties except:
  • To provide or improve user-facing features visible and prominent in RECRUITED, with user consent
  • For security purposes (e.g., investigating abuse)
  • To comply with applicable laws
  • As part of a merger, acquisition, or sale of assets, with explicit prior consent from the user
• No Advertising: Does not use Gmail data for serving advertisements, including retargeting, personalized, or interest-based advertising
• No Unauthorized Human Access: Does not allow humans to read Gmail data unless:
  • You provide affirmative agreement to view specific messages
  • It is necessary for security purposes (e.g., investigating a bug or abuse)
  • It is necessary to comply with applicable law
  • The data is aggregated and anonymized for internal operations
• Prohibited Uses: Gmail data is never transferred to advertising platforms, data brokers, information resellers, or used to determine credit-worthiness or for lending purposes

Use of Gmail Data

RECRUITED integrates with Google Gmail to help student-athletes manage and organize recruiting communications with college coaches.

When a user connects their Gmail account, RECRUITED may access email content, metadata, and labels strictly for the purpose of:

• Displaying recruiting-related messages inside the RECRUITED dashboard
• Sending emails on behalf of the user from their own Gmail account
• Applying labels and organizing messages within Gmail
• Tracking engagement such as opens and replies for the user's reference

RECRUITED does not send emails automatically. All emails are written and sent by the user. Any AI features within RECRUITED provide guidance or suggestions only and do not send messages independently.

Gmail remains the system of record. RECRUITED does not delete emails from Gmail. Messages sent or received through RECRUITED remain fully accessible in the user's Gmail account at all times. If a user disconnects Gmail or stops using RECRUITED, their email correspondence remains intact in Gmail.

RECRUITED does not access personal emails unrelated to recruiting, does not sell or share Gmail data with third parties, and does not use Gmail data for advertising.

Users may disconnect their Gmail account at any time from their account settings. Upon disconnection or account deletion, RECRUITED revokes access tokens and ceases access to Gmail data.

Data Storage and Security

Your Gmail access tokens are stored securely in our encrypted database. We implement industry-standard security measures including:

• Encrypted storage of access tokens and refresh tokens
• Row-level security policies on all database tables
• Secure server-side token refresh mechanisms
• HTTPS encryption for all data transmission
• Regular security audits and updates

Data Sharing

We do not sell, trade, or rent your personal information or email data to third parties. We only share data:

• With your explicit consent
• When required by law or legal process
• With service providers who assist in operating our platform (under strict confidentiality)

User-Submitted Contact Reports

When you report inaccurate contact information through our "Report issue" feature, we collect:

• The contact information being reported (email address, entity type)
• The type of issue you're reporting
• Your description of the problem
• Any suggested corrections you provide

This information is used solely to improve the accuracy of our coach and contact database. Your reports are stored securely and reviewed by our data quality team.

Your Rights

You have the right to:

• Access your personal data
• Request correction of inaccurate data
• Request deletion of your account and data
• Revoke Gmail access at any time through your Google Account settings
• Export your data
• Opt-out of email tracking features

Data Retention

We retain your data for as long as your account is active or as needed to provide you services.

Gmail Disconnection

When you disconnect your Gmail account from RECRUITED:

• Gmail access tokens: Revoked and deleted immediately
• Cached email data: Retained to preserve your coaching relationships and communication history, allowing you to reconnect later without losing your data
• Your Gmail inbox: Remains unchanged — we never delete or modify messages in your Gmail account

You can reconnect your Gmail account at any time to resume syncing.

Account Deletion

When you delete your RECRUITED account (Settings → Danger Zone → Delete Account):

• All cached email data: Permanently deleted immediately
• Gmail tokens: Revoked and deleted immediately
• Profile and personal information: Permanently deleted immediately
• Coach contacts and relationships: Permanently deleted immediately
• Blast history and templates: Permanently deleted immediately
• All other user data: Permanently deleted immediately

Account deletion is irreversible. Your Gmail inbox remains unchanged.

Children's Privacy

Our service is intended for high school students aged 13 and older. We comply with COPPA (Children's Online Privacy Protection Act) and do not knowingly collect information from children under 13 without parental consent.

Changes to This Policy

We may update this Privacy Policy periodically. We will notify you of significant changes via email or through our platform. Continued use of our service after changes constitutes acceptance of the updated policy.
